Meeting Room Policy


Meeting Room Capacities as set forth by the Fire Marshal and other regulatory agencies:

BRANCH MAX OCCUPANCY

  • Main Branch - Livingston 30 persons
  • Denham Springs-Walker Branch 100 persons
  • Watson Branch 75 persons
  • Albany-Springfield Branch 50 persons
  • South Branch 25 persons

The Livingston Parish Library Board of Control has set forth the following rules and regulations for the use of the meeting rooms in all branch locations of the Livingston Parish Library system. These guidelines are to be read and agreed upon by anyone/any group applying for reservation of any meeting room in the system before the applications will be accepted. Failure to uphold library policies may result in either termination or suspension of meeting room privileges.

Application for reservation is to be on the library-provided form. The application is to be filled out by the person(s) responsible for the meeting. Signature(s) on the application constitutes agreement to the rules as set forth by the library system.


Applicant(s) is/are solely responsible for set-up and take-down of the meeting room unless special arrangements are made with the Branch Manager at the specific branch location.
Meeting rooms will not be considered as reserved until the completed application, with signature(s), has been received.


Upon take-down, the meeting room must be restored to the same orderly fashion as before the meeting’s set-up. Timeliness is key as there may be back-to-back meeting scheduled.
Priority will be given in this order: 1.) Library-sponsored activities, 2.) local governmental and nonprofit service organizations, and 3.) all other meetings as applied for by community organizations and groups which fit the below listed criteria.

  • Open to the public (see Exceptions below)
  • Have educational, cultural, and/or civic applications
  • Items or services may not be sold (see Exceptions below)

Exceptions are:

  • special permission for classes or programs which require advanced registration due to limited availability (however registration MUST be open to the general public)
  • special permission for classes or programs that require a small fee to cover supply expenses (but NOT payment for speaker, etc.)
  • special permission for authors/book signings
  • Use of the meeting rooms by various organizations and groups does not constitute endorsement, by the Library, of the policies or beliefs of said organizations and groups.


Meetings must be held during Library hours. Take-down/wrap-up should begin at least 30 minutes prior to Branch closing and sooner if necessary to complete all take down and housekeeping tasks. Meeting rooms should be clear of all individuals 15 minutes prior to Branch closing.


Programs or classes should not be such that noise, traffic, etc. interfere with patrons or normal Branch operation.
The Library has the right to cancel the use of the meeting rooms by any group or organization that fail to follow the Library’s rules and regulations.


Nothing may be affixed to the walls, by any means, of the meeting rooms. Cost of repair/replacement due to damages caused by not following this rule will be charged to the applicant.


Any youth activities MUST be applied for and attended to by an adult (21 years or older).


The Library will not be responsible for loss or damage to any equipment not belonging to the Library.


The Library will not act as a storage facility for any group’s items.


The Library’s address and/or telephone number may not be listed by any applicant for the organization’s/group’s usage.


Alcoholic beverages, drugs, any illegal substances are STRICTLY prohibited on Library grounds. Smoking is prohibited in the Library buildings.
Simple refreshments are allowed with prior permission from the Branch Manager. Applicant organization/group is responsible for cleanup.
